Job Description

The HT Group is partnering with a reputable law firm to hire a permanent  Receptionist / Office Admin. The Receptionist is the first point of contact for clients, visitors, and staff in the Austin office. This role ensures smooth front desk operations while maintaining a welcoming and professional environment. The ideal candidate is organized, detail-oriented, and able to manage multiple tasks with professionalism and discretion. Experience in a law firm or professional services environment highly preferred. 

Permanent Position 
Downtown Austin (On-site)
$55-60k base


Key Responsibilities
  • Greet clients and visitors and provide a professional first impression
  • Answer and direct incoming calls
  • Maintain an organized and presentable reception area
  • Coordinate conference room scheduling and meeting setup
  • Provide basic hospitality support for meetings and visitors
  • Manage incoming and outgoing mail, deliveries, and courier services
  • Provide general administrative assistance to attorneys and staff
  • Assist with document preparation, scanning, copying, and filing
  • Monitor office supply inventory and place orders as needed
  • Support internal meetings and firm events
  • Coordinate with vendors and assist the Office Manager as needed
  • Report facilities or maintenance issues
  • Maintain confidentiality of firm and client information

Qualifications Required

  • High school diploma or equivalent
  • 1–3+ years of receptionist or administrative experience
  • Strong communication and organizational skills
  • High degree of professionalism and strong client service skills
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Experience in a law firm or professional services environment highly preferred 
  • Familiarity with multi-line phone systems or document management systems 
  • Attention to detail and reliability
  • Ability to multitask and maintain confidentiality
  • Team-oriented and adaptable
  • Ability to lift up to 25 lbs.
