These roles serve as the first point of contact for the firm and act as strategic guides connecting clients and attorneys. Selected candidates will be responsible for client intake, developing retention strategies, and managing professional office operations in line with SJKP, LLP’s global strategy. Selected candidates will play a pivotal role in adding trust and value to every moment a client encounters SJKP, LLP.

Maintain a professional and trustworthy office environment and communicate brand values to clients.

Ensure accurate data management and security using legal case management systems (e.g., Clio).

Ensure a smooth workflow through close collaboration with team members and attorneys.

● [Position-Specific Responsibilities]

1. Legal Coordinator

(Case Strategy & Sales Management)

  • Client Intake & Sales Closing: Proactively diagnose and identify the legal needs of prospective clients through inbound and outbound leads, and guide them toward case work flow through clear, persuasive, and solution-oriented communication. Provide a warm, professional, and seamless experience at all touchpoints, including in-person meetings, phone consultations, and video conferences.
  • Sales Pipeline & Account Assessment: Manage the entire sales pipeline from initial inquiry to final retention. Perform close management of retained clients, including accounts receivable (A/R) management, and execute strategic follow-ups for unconverted leads.
  • Collaboration with Attorneys: Communicate closely with assigned attorneys to support case retention and ongoing client management. Develop effective consultation strategies and tailored solutions that align with each client’s legal needs and the firm’s strategic objectives.
  • Performance Tracking & Analysis: Monitor and analyze daily, weekly, and monthly conversion metrics and revenue contributions to identify trends. Optimize performance and continuously refine sales strategies.

2. Legal Secretary

(Front Desk Client Service / Case Record Organization & Admin Support)

  • Reception & Front Office Management: Greet and assist clients and visitors; support clients in completing intake forms. Handle phone calls and online inquiries professionally, maintaining a comfortable and professional office environment for all clients.
  • Client Intake & Communication: Serve as a primary point of contact for new and existing clients. Gather essential client information and case details via phone or online channels and relay them accurately and promptly to attorneys, providing a professional client experience.
  • Scheduling & Calendar Coordination: Manage client consultation appointments and efficiently coordinate attorneys' schedules. Update consultation calendars in real-time and prepare related reports to ensure smooth consultation processes.
  • Case Intake & System Support: Accurately enter and organize client information, consultation notes, and case records in legal case management systems (e.g., Clio). Support administrative tasks such as daily logs and summary reports, maintaining accurate and up-to-date client data.
  • Office Administration & Operations Support: Handle mail processing, document preparation, filing, scanning, copying, and general administrative tasks. Provide practical support for office operations and contribute to an organized and efficient office environment.

3. Legal Client Intake Specialist

  • Initial Inquiry Process: Respond to inbound inquiries via phone/online with warmth and professionalism.
  • Assessment & Scheduling: Conduct initial case assessment and schedule consultations with the professional team.
  • Documentation: Maintain accurate records of client interactions to ensure a seamless handoff.
  • Follow-up: Proactively manage follow-ups to ensure high client satisfaction.

■ Qualifications & Preferences

  • Experience: 5+ years for Lead level / All experience levels welcome for Associate level.
  • Education: Bachelor’s Degree required.
  • Skills: Exceptional communication and a strong client-service mindset.

1. Legal Coordinator: Strong closing skills and the ability to build trust are essential. Experience in high-stakes sales (Insurance, Auto, Marketing) or intake management at large law firms/medical institutions is highly preferred.

2. Legal Secretary: Majors in Secretarial Studies, Communications, or related fields. Experience with Clio or other case management systems. Multilingual skills are a significant plus.

3.Legal Client Intake Specialist

Basic Requirements: Bachelor’s degree (preferred majors: Communications, Business, Psychology, Law, or related fields).

Competencies: Experience in inbound phone handling or face-to-face customer service; a strong service-oriented mindset.

Preferences: Interest in the legal service industry; experience with CRM or intake software; Multilingual skills (Highly preferred).

Lead/Manager: $60,000 - $80,000

Associate/Staff: $40,000 – $60,000

2. Legal Secretary

Lead/Manager: $50,000 - $60,000

Associate/Staff: $38,000 – $40,000

3.Legal Client Intake Specialist

Lead/Manager: $50,000 – $70,000

Associate/Staff: $38,000 – $50,000

For the Legal Coordinator role, SJKP may provide performance-based incentive bonuses.
